Q4A is seeking an enthusiastic, well-organised and detail-oriented Administrative Assistant to fill a position in our Toronto office. The successful candidate will have a minimum of 2 years’ professional Canadian experience.

Required Skills

  • 2 years’ experience in an administrative position;
  • Strong attention to detail;
  • Proficient organization skills;
  • Professional and confident telephone manner;
  • Intermediate-strong knowledge and experience of MS Office (particularly MS Excel) for administrative purposes.

Responsibilities

  • Fee proposal and contract preparation: prepare based on manager’s notes, issue, track status both internally and externally;
  • Set up meetings for the Principal, Directors and some staff
  • Post jobs as directed, review incoming resumes, forward to managers and schedule interviews as required. Organise induction documents/equipment for successful candidates;
  • Manage reception, answer and direct phones, general enquiry emails and incoming mail/shipments;
  • Contact person for building management and some vendors;
  • Maintain office inventory; place orders online, receive deliveries and when necessary pick up kitchen and general supplies;
  • Assist accounting department with maintaining petty cash and billing reports;
  • General tidy-up of the kitchen, for example loading and unloading dishwasher;
  • General office/administrative assistance, data entry tasks as required, assist in organizing company events.
