Our work for this client is project based, and ranges from quick-turnaround feasibility studies to the design and production of large-scale residential projects. Led by a senior Studio Director, we deliver these projects through the work of a skilled team of architects, technologists and designers.

Purpose of this Role

Q4A relies on the Studio Operations Manager to promote a smooth flow of projects by effective: 
  • Resource planning 
  • Project budgeting 
  • Project profitability and progress monitoring 
  • Process management 
  • Managerial decision support 
  • Workload balancing

  • The Studio Operations Manager collaborates closely with, and reports, to the Studio Director. They support architectural teams with information and solutions to project management problems. They are the link between the studio and the finance department. 

    Role Description

    The Studio Operations Manager works with Studio Director to run a dynamic portfolio of projects, planning and managing resources, people and processes. They will collaborate to ensure that projects are assigned to appropriate teams, flow through the studio efficiently and profitably, and meet client-service expectations.

    Successful performance of this role will be measured by:

    • Improved delivery of projects 
    • Improved scheduling, project and resource planning 
    • Improved profitability and visibilty into project finances 
    • Reduced errors, redundancies and duplication of work 
    • Consistent improvement in the studio’s production and client service 
    • Development of strong collaborative relationships in the studio and finance department
    • Positive feedback from Studio Director, Associates, Project Managers, and clients



    • Partnering with the Studio Director to investigate, build and implement best practices, systems and processes 
    • Coordinating and working across teams to ensure flow 
    • Supporting and advising Principals in operational strategy

    Resource Allocation

    • Working with the Studio Director to manage and balance the studio’s overall resources overall (project money and progress, scope, and price) 
    • Ensuring teams are appropriately structured and scheduled 
    • Ensuring teams and individuals are assigned to appropriate projects 
    • Guiding team leaders in solving staffing and scheduling problems

    Project Management

    • Improving the firm’s use of project management software and its ERP 
    • Facilitating improvements in the flow of projects through the studio through leadership and team input 
    • Facilitating improvements in client service using consulting and team input 
    • Maintaining a strong awareness of the firm’s prospective and in-progress projects 
    • Maintaining a strong awareness of key project deadlines and deliverables 
    • Guiding team leaders in developing solutions to project bottlenecks 
    • Review and approve project reports to project profitability • Review and approve staff timesheets

    Required Qualifications

    • 7 – 10 years of experience in a project management or operations function 
    • Demonstrated ability in project financial management 
    • Demonstrated ability in the use of PM software and ERP resource planning functions 
    • Experience in the architectural, engineering or construction industry, ideally with all phases of projects 
    • Project Management and/or Accounting designations
    • Working knowledge of Microsoft Teams Planner, Deltek Ajera, and Newforma is an asset

    COVID-19 Note:
    Our staff is currently working in a Work-from-Home environment; however our office remains open to allow people to work socially distanced if they prefer. We utilize Zoom and Microsoft Teams for digital collaboration among project teams and communicating with our clients. Working knowledge and comfort with these systems is essential to the success of this role. Ongoing, we are reassessing our Return-to-Office plans in conjunction with government guidelines.
