Project Accountant

We are seeking an Intermediate/Senior Project Accountant (To be determined based on experience). Full-time, Hybrid (typically 3 days in studio – training and probation may require additional days in-office)

The Project Accountant is a key player in driving the financial success and operational efficiency of Q4A's projects. This role is crucial for ensuring that project finances are meticulously managed, from budgeting through billing, to deliver accurate and actionable financial insights, data and operations. The Project Accountant is expected to operate with a high degree of autonomy, yet also collaborate with Project Managers and Leadership to oversee project financials with precision and strategic foresight. By maintaining rigorous financial controls, optimizing billing processes, and enhancing project management systems, this role directly impacts the firm's profitability, project outcomes, and overall financial health.

You will work directly with our Director of Finance, applying your knowledge to oversee and improve financial workflows, policies and procedures across our business. You will have an active role in project and firm finances, leveraging your experience and professionalism to support a wide range of tasks that are both client and staff facing. You must build a comprehensive understanding of our ERP software (Deltek Ajera), becoming a resource and champion for its use and understanding. This includes an emphasis and enthusiasm for working with Job Captains, Project Managers and Leadership to ensure best practices are being followed and that we are leveraging the capabilities of its use.

You will be supported by learning and collaborating with studio members and project team leads. This open communication will ensure a comprehensive network of support and understanding, enabling you to effectively dedicate time to the following tasks, ensuring consistency with firm policies and procedures.

Project Financial Management for Profitability, Success, and Excellent Data Quality:

·      Collaborate with Project Managers to:

Monitor project budgets, track and analyze project costs to identify variances and trends.

Generate comprehensive project cost reports and review financial performance and profitability to support informed decision-making in alignment with project goals.

·      Identify and resolve discrepancies in project financials promptly to maintain accuracy and integrity.

·      Provide financial support and guidance to project teams, enhancing their understanding time and cost constraints.

·      Maintain detailed, accurate, and comprehensive records of all project data and financial transactions.

·      Assist with the preparation and submission of financial documentation for project proposals and contracts.

·      Provide insights to Project Managers on developing and maintain project budgets, ensuring they reflect realistic estimates.

Streamlined Billing, Expense Management, and Timesheet Oversight for Optimal Cash Flow and Accurate Project Status:

·      Issue project-specific invoices in a timely and accurate manner, reflecting completed work and expenses incurred for each project.

·      Examine unbilled costs & unpaid invoices monthly, to maximize billing and collection potential.

·      Review invoice submissions from sub-consultants to ensure compliance with contract provisions & budgetary limits

·      Reconcile project-specific accounts with precision to ensure consistency and accuracy.

·      Support disciplined timesheet submissions under the Finance Director's guidance, ensuring adherence to company approval workflows.

Automation-oriented Project Financial Management Processes and System

·      Collaborate with Project Managers, Studio Directors, and team members to identify gaps, pain points, and needs in project management financial processes and systems.

·      Assist in the implementation, maintenance, and optimization of project accounting software and systems, ensuring they meet the project managers and finance department needs.

Support to the Finance Director and Senior Accountant:

·      Provide support for core accounting functions, including general ledger management, reconciliations, and financial reporting.

·      Assist with financial reporting tasks, ensuring accuracy and completeness in the presentation of financial information.

·      Act as a back-up to the Senior Accountant in times of absence.
